Dear <<RECIPIENT_SALUTATION>>,
I'm Lindsey, the principal at Hook And Eye Co. — a costume and garment shop in Austin, Texas. We built <<GARMENT_OR_COSTUME_PACKAGE_DESCRIPTION>> for <<PRODUCTION_NAME>>, designed by <<DESIGNER_NAME_OR_NA>>, in <<PRODUCTION_RUN_YEAR_OR_RANGE>>.
I'm writing to formalize portfolio-use permission for photographs of this work on Hook And Eye Co.'s side of our trade relationship. We'd like to display photographs of the costumes and garments — as worn in production, in our shop during build, or in a portfolio shoot — as examples of our past work.
The photographs would appear in the following places, all of them promotional uses of our own past work and none of them commercial or for-sale uses involving the production, the production company, or your brand:
- Our portfolio at <<HOOK_AND_EYE_WEBSITE_URL>> (project detail page)
- Our social media accounts (Instagram and similar)
- Print marketing materials — brochures, exhibition or trade-show panels, presentation decks for prospective clients and other production partners
We'd credit the production using the format your office prefers. Our default, unless you direct otherwise, would read along the lines of:
Costumes built by Hook And Eye Co. for <<PRODUCTION_NAME>> · <<PRODUCTION_COMPANY_OR_THEATER>> · <<PRODUCTION_RUN_YEAR_OR_RANGE>> · designed by <<DESIGNER_NAME_OR_NA>>
We'd also link to your production's listing or your company's website where the format allows, and we'd honor any specific attribution wording, hashtags, or press-credit conventions you maintain. If a credited designer is involved and has their own portfolio-use protocols, we'd defer to those alongside yours.
This permission would cover the <<PRODUCTION_NAME>> work specifically. For future productions under our trade relationship, we'd ask permission per-production unless your office prefers a standing arrangement covering all collaborative work, in which case we'd be glad to formalize that separately. The permission would remain in effect until you ask us to retire the photographs, in which case we'd remove them from forward-going use within thirty days of your written request. The photographs themselves remain Hook And Eye Co.'s property; the underlying production rights remain yours.
If this works for you, a brief written confirmation by reply email or signature on the line below is all we need. If your press office or production coordinator should be the point of contact instead, please let us know and we'll route the request appropriately.
Thank you for considering this — and for the production that gave this work its scope.
Sincerely,
Lindsey Rae
